Create group templates, then combine them into a session template set. Staff choose a set when they create a hosted event day. Organization administrators manage these templates.
Add a group template
- Under Event Setup, open Group Templates.
- Select Add Group.
- Enter Name and Short label.
- Set Soft cap for riders.
- Set Hard cap for riders and coaches on track.
- Set Display order.
- Enter Color, Description and Eligibility notes as needed.
- Select Save Group.
The short label has at most 12 characters. Staff group choices show the label before the full name. Use lower display-order numbers for groups that appear first. The soft cap must not exceed the hard cap. The hard cap must not exceed 500. An optional color uses the format #rrggbb.
Combine groups into a set
- On the same screen, find Session Template Sets.
- Select Add Set.
- Enter Set name.
- Set Session length in minutes.
- Set Day ends to the default local end time.
- Select at least one group under Groups in this set.
- Select Save Set.
Use a unique set name within your organization. Session length must be 1 to 120 minutes. A group template can belong to several sets. Trackside orders set members by their group templates' display order.
Understand later changes
A new day gets the set's groups, session length and default end time. Changing or deleting the set does not change existing days. Edit an existing day's timing on the event screen. Session length describes each group session; it does not create a timetable.
Group template changes do reach existing day groups. A blank day field follows the template. A filled day field applies only to that day. This applies to name, short label, caps and display order. Color always follows the template. Clear a day's field to follow the template again.
Check affected days before changing a template's caps. Trackside refuses changes that make a day's effective soft cap exceed its hard cap. See Manage group capacity for counting and day overrides.
Remove a template
Deleting a group template leaves existing day groups with their current values. Those groups stop following a template. Add-ons restricted to the deleted template lose that selection. Review those add-ons before you select Delete and confirm the removal.
Deleting a session set leaves existing day groups and timing unchanged.
