Use Rental Bikes for motorcycles that your organization rents for riding on track. This screen requires Full integration. LapBrain Trackside Rental uses the separate Data Logger Rentals guide.

Add a bike

Organization admins manage bike inventory. Create an On-track bike rental add-on under Add-Ons in Products & Checkout first.

  1. Open Rental Bikes under Event Setup.
  2. Select Add Rental Bike.
  3. Enter Bike name, Make, and Model.
  4. Add Year, Color, and Staff notes as needed.
  5. Choose the products under Eligible rental products.
  6. Choose Add available date, then select Add date for each rental date.
  7. Select Save Rental Bike.

Only listed dates contribute rental stock. You can also edit Available dates, with one YYYY-MM-DD date per line. A bike supplies one slot per date across all its eligible products. Bookings and checkout holds consume stock before staff assign a specific bike.

Assign a confirmed rental

Admins and operators assign bikes after purchase. Customers book a rental product without choosing a specific bike.

  1. Choose Sandbox or Live under Rental booking payment mode.
  2. Find the rider under Confirmed rental bookings.
  3. Select Assign or Reassign.
  4. Choose an eligible Rental bike.
  5. Enter a Reason.
  6. Select Save Assignment.
  7. Check the bike shown in the booking row.

Choose Assignment pending to clear an assignment. This keeps the rental booking confirmed. Sandbox bookings do not reserve Live inventory. Bike inventory and available dates apply to both modes.

Handle an unavailable bike

Inventory changes do not cancel or refund bookings. Remove an unavailable date, then review affected bookings for shortages. Use Reassign to choose a replacement. If no replacement is available, use the booking workflow for transfer, cancellation, or refund.

Use Edit to change a bike’s details or available dates. Use Retire to remove future availability and preserve assignment history. Retirement clears future assignments and leaves those bookings pending. Check affected bookings after retirement.

Past bookings keep their recorded vehicle details. Only bikes never assigned to a booking have Delete. Deletion cannot be undone.
