Cancellation releases the booking and its extras. It does not refund a payment or issue store credit. Use a separate money action when your organization needs one. Organization admins and operators can cancel bookings with a reason.

Cancel the whole booking

  1. Open Rosters under Operations.
  2. Choose Roster payment mode and Event day.
  3. Use Find a participant to locate the booking.
  4. Open Booking details to check its purchased items.
  5. Open the booking's actions menu and select Cancel booking.
  6. Enter Reason.
  7. Select Apply booking change.
  8. Check the cancelled status in the roster.

The cancelled record stays available for review and money adjustments. For a pass booking, its purchased cancellation rule decides whether the credit returns. Cancellation does not reactivate a voided pass.

Cancel one extra

Cancelling one extra keeps the main booking. It releases only that extra's capacity. Refunds and credits still need separate actions.

  1. Open the booking's actions menu and select Cancel one extra.
  2. Choose Purchased item.
  3. Enter Reason.
  4. Select Apply booking change.
  5. Open Booking details to check the item's cancelled status.

This action applies to active add-ons or coaching, rather than the entry, primary rental, or transfer payment.

Handle a pending day transfer

When a day transfer awaits payment, first use Cancel pending day transfer. Enter Reason and select Apply booking change. This releases the destination reservation and keeps the original booking. Then cancel the original booking if required.

Refunding or crediting a pass does not cancel its existing redeemed bookings. Cancel those bookings separately in their day rosters.
