Group capacity limits vehicles on track for one day. The soft cap limits riders. The hard cap limits riders plus distinct coaches. Both limits must allow a registration.

Read the counts

Open a day in Events or Rosters to check its groups. Rider fill includes confirmed riders and riders with temporary checkout holds. On-track fill adds the distinct coaches attached to those riders. Temporary holds appear separately so you can see places reserved by unfinished purchases. Confirmed attendance excludes those holds.

A coach counts once in each group they teach. Several students with the same coach use one coach place in that group. That coach needs another place in each other group they teach.

For example, 25 riders and five distinct coaches use 30 on-track places. With a soft cap of 30 and hard cap of 35, five more uncoached riders fit. A 31st rider exceeds the soft cap.

Account for holds

Checkout holds reserve places while purchasers complete payment. Successful payment turns those reservations into confirmed bookings. Failed, cancelled or expired purchases release them. Held coaches already counted in a group do not add a second coach place.

A paid day transfer reserves its destination while keeping the original booking reserved. Check Change a booking before moving a rider between days.

Live and Sandbox capacity are separate. Choose the correct Roster payment mode before you use roster counts for a decision. Sandbox bookings do not reserve Live places.

Change day limits

  1. Open the event in Events.
  2. Find the day and group.
  3. Select Edit beside the group.
  4. Enter Soft cap and Hard cap for that day.
  5. Select Save Group.

Blank fields follow the group template. Clear a day's cap field to use the template again. The resulting soft cap must not exceed the resulting hard cap. Template edits also affect days that follow the template.

An added day group has no template and needs its own values. Add-ons restricted to selected group templates are unavailable in that group.

Close a group

Select Closed — no new registrations in this group in the group's editor. Then select Save Group. Closing stops new registrations and keeps existing bookings. The public site shows a closed group as sold out.

Use a staff override

An override applies to the specific staff action; it does not change the group's caps. Staff must enter a reason. Operators can exceed the soft cap. Only organization administrators can exceed the hard cap.

Use Override soft cap with this reason when the action must exceed the rider limit. Administrators also have Override hard cap with this reason for the on-track limit. Trackside records these actions in the audit trail. Over-cap groups show a warning.

These controls do not bypass a closed group, unavailable coach or unavailable stock. Trackside rechecks capacity when you submit an entry, move or coach reassignment. Read the refusal before changing your selection or choosing an override.
