Operators and organization administrators change bookings from the roster's action menu. Enter a reason for each change. Trackside checks the destination's groups, coaches, products and capacity before applying it.
An unfinished extras purchase blocks booking changes until payment completes, fails or expires. A pending day transfer also blocks other booking changes. Check Booking details before starting another change.
Move within a day
- Open Rosters and choose Event day.
- Check Roster payment mode.
- Open the participant's action menu.
- Select Move group or day.
- Keep Destination day unchanged.
- Choose Destination group.
- Enter Reason.
- Select Apply booking change.
- Reload the roster to check the rider's new group.
Only open groups appear in the destination selector. The move must keep every purchased extra eligible in the destination group. Read Manage group capacity before choosing a cap override. The dialog does not show projected group counts. Check the current group counts on the roster before confirming.
Move to another day
For a pass-backed booking, see Handle pass booking changes. The ordinary booking action cannot change a pass booking's day.
- Select Move group or day from the booking's action menu.
- Choose Destination day.
- Wait for its destination groups to load.
- Choose Destination group for a hosted entry.
- Enter Reason.
- Select Apply booking change.
- Read the result before telling the rider the move is complete.
Every attached purchased product must be available at the destination. The move keeps the purchased prices of extras. For hosted entries, Trackside compares the destination price with the entry's remaining funded value. Earlier refunds and credits reduce that funded value.
An equal-price move completes immediately. A lower-price move completes immediately and credits the original purchaser. A higher-price move starts a payment request for the difference. The original booking stays reserved until that payment succeeds. Trackside also holds the destination places while payment is pending.
Handle a pending transfer
Open Booking details to check Pending day transfer. It shows the destination, amount and expiry. Share Purchaser payment link with the original purchaser. They must sign in to pay.
Successful payment moves the booking to the destination. Decline, cancellation or expiry releases the destination and keeps the original booking. Reload the destination roster to confirm a successful move.
To stop the request, select Cancel pending day transfer from the action menu. Enter Reason, then select Apply booking change. This keeps the original booking and releases the pending destination reservation.
Change the participant
This changes who attends; it does not change the original purchaser or purchase history. The new participant must not already have a confirmed booking on the same day in that payment mode. For a pass-backed booking, see Handle pass booking changes.
- Select Change participant from the action menu.
- Enter New participant email.
- Enter Reason.
- Select Apply booking change.
- Reload the roster to check the new participant.
Trackside uses the new participant's current rider profile for contact details. Review the booking's saved vehicle and registration answers after the change.
Reassign a coach
Reassign coach appears when the booking has active purchased coaching.
- Select Reassign coach from the action menu.
- Choose Coach.
- Enter Reason.
- Select Apply booking change.
- Reload the roster to check the coach assignment.
The replacement coach must meet the offering, group and availability rules. Trackside checks coach workload and on-track capacity. Reassignment keeps the purchased coaching item and its price.
For removal, see Cancel a booking or extra. Cancellation, refunds and store credit are separate actions.
Handle pass booking changes
Use the roster to change a pass booking's group on the same day. The roster cannot change its day or participant.
Ask the pass holder to sign in on your organization's website. They select Change day or rider beside the booking in their pass list. After the holder saves, reload the destination roster to check the day, group and participant. A successful change keeps the pass credit.
The pass must be active. The original day must still be open for registration. The destination must be an eligible open day with group capacity. A different participant needs the purchased pass's transfer permission.
An unfinished extras purchase, active purchased extras, or an assigned coach blocks this holder action. Contact LapBrain if the holder cannot make the required change. Check pass cancellation rules before cancelling a booking. Cancellation can forfeit its credit.
