Create an event, then add the days people will attend. Each day has its own venue, registration window, groups and entry price. Staff with Operator or Admin access manage events and days. Organization administrators set entry prices for organizations with a hosted site.
Prepare event setup
- Add the venue where the event runs.
- Create group templates and a session set for the hosted days.
Organizations that take registrations elsewhere still use events, groups and rosters. They do not need an entry price in Trackside.
Create the event
- Open Events.
- Select Create Event.
- Choose Hosted event in Event type if the selector appears.
- Select Default venue.
- Enter Title.
- Enter URL slug, or leave it blank for Trackside to make one from the title.
- Enter Summary and Description.
- Choose Hero image if your organization has a hosted site.
- Check Listed on the site (unlisted listings are reachable only by link) for public listing discovery.
- Select Save Event.
The event starts as a draft. An unlisted event remains reachable by its link when published. Unlisted does not mean private. Image choices apply when you save the event. Saving a published event updates its public content immediately.
Add a hosted day
- On the event screen, select Add Day.
- Choose Session template set.
- Set Date and Venue.
- Choose Status.
- Set Starts, Ends and Session length as needed.
- Set Registration opens and Registration closes as needed.
- Enter Notes as needed.
- Select Save Day.
Times use the selected track's timezone. The set supplies groups and initial timing. Later set edits do not change this day. Group fields left blank continue to follow their group templates. Use Edit Day to change the day's timing or registration window.
Set an entry price
A hosted day needs an entry price to sell on your site. The same entry price applies to every group on that day.
- Select Entry Price on the day.
- Enter the first price amount.
- Leave its start blank for a price that applies from the start.
- Select Add Price Change for each later price.
- Enter each later start time and amount.
- Select Save Price.
The price in force at checkout applies. A schedule has at most 24 prices, with later start times in increasing order. Price start times use your organization's timezone, which can differ from the day's venue timezone. A schedule that starts later cannot sell before its first price takes effect. Select Remove Price to remove entry sales pricing for that day.
Create a bike rental event
Organizations with a hosted site can create bike rental events at another organizer's event. These bookings sell the motorcycle rental. Riders arrange admission to the host organizer's event separately.
Set up the rental add-on product first. Then set up its eligible rental bikes. Then select Bike rental in Event type when you create the event. Add each rental date with Add Day. Choose Primary bike rental for the required rental product. Set the date, venue, status and registration window, then select Save Day.
Rental days do not use group templates, session lengths or hosted-entry prices. The required rental product supplies the price. Available rental bikes determine stock for the date. Use the day's Roster link to manage the resulting rental bookings.
Open or stop sales
Select Publish when the event is ready. A published event sells only when its day is open and within the registration window. For hosted entries, the group must also be open and have room. The organization's public site and payments must allow sales.
With no opening time, registration opens when the event is published. With no closing time, registration closes at local midnight after the day. Previewing a draft does not open public registration.
Use Unpublish to return a published event to draft. Use Edit Day to close or cancel a day. Use Cancel Event to cancel the event. These actions stop new registration; they do not refund existing bookings. Handle existing bookings through the roster.
Remove unused records
Only a draft event has Delete. Use Archive when you need to retain a published or cancelled event's records. Use Restore as Draft to restore an archived event.
Trackside prevents day removal when bookings, pending checkouts, holds or purchased pass commitments still depend on it. It also prevents group removal while bookings or active reservations use that group. Close the group or day when you need to stop sales and retain commitments.
