Import complimentary entries from a CSV file for one hosted event day. Operators and organization administrators can import entries. Trackside collects no payment. The import creates every entry together or creates none.
Prepare the file
Use one row per rider and these required column names:
email,name,group
[email protected],Alex Rider,Novice
Replace the example group with a group name on your selected day. Use the full group name, not its short label. Group names match without regard to letter case. The file must contain at most 500 riders and be no larger than 1 MB. Each row needs a valid email and a name of 1 to 200 characters. Do not repeat a rider email within the file.
The import form lists any registration-question columns for your organization. Use question: followed by the question ID shown before its prompt in parentheses. Do not include the parenthesized prompt in the column name. Supply answers for required registration questions. Use the configured choices, or yes and no for a yes-or-no question.
Keep only the required columns and recognized question columns. Trackside rejects unknown or duplicate column names.
Preview the entries
- Open Rosters.
- Select Event day.
- Check Roster payment mode.
- Select Import CSV.
- Choose CSV file, or paste the file contents into CSV text.
- Select Preview import.
- Check each row's name, email, group and answer count.
Sandbox imports create test bookings only. They do not reserve Live inventory. The preview checks file format, group names and question answers. It does not reserve capacity or guarantee that the import will succeed.
Fix preview errors
Read the reported column or line number. Correct invalid emails, duplicate riders, missing names, unknown groups or invalid answers. Fix unknown or duplicate headers before checking rider rows. Then select Preview import again.
Editing the CSV clears the previous preview. Trackside shows the import action only after a successful preview.
Import the entries
- Enter Reason after you check the preview.
- Choose a capacity override only when your organization requires it.
- Select Import registrations.
- Check the reported number of imported entries.
- Reload the roster to confirm the riders and groups.
Trackside rechecks bookings and capacity when you import. A rider already booked on that day in the selected payment mode blocks the import. A closed group or insufficient capacity also blocks it. Fix the cause and preview again before retrying. See Manage group capacity for override permissions.
Imported names do not overwrite existing rider profiles. Use roster corrections to correct allowed details after import.
