Use Data Logger Rentals to manage a rider’s day of LapBrain analytics. The screen appears under Operations when your organization’s Data Logger Rentals capability is on. Rental motorcycles use Rental Bikes instead. Admins and operators manage activation and custody. Viewers read rental records.
Create a rental event
- Open Data Logger Rentals under Operations.
- For Full or Operations integration, choose a Trackside event.
- For rentals-only access, enter Rental event name, Rental event starts, and Rental event ends.
- Select Create rental event.
- Choose the Rental event and Rental day for activation.
An existing Trackside event supplies its name and dates. Operations and rentals-only organizations collect rider payments outside Trackside.
Activate a logger
You need rental terms and a working LapBrain connection before you activate a logger. Read any warning above the rental list before continuing. Contact LapBrain if you cannot activate a logger because of these settings.
- Choose the Rental event and Rental day.
- Enter the eight-digit sticker number in LapBrain serial number.
- Alternatively, select Scan logger QR and scan the sticker inside Trackside.
- For a Full organization, choose Registered rental rider from the paid rentals for that day.
- Add Rider name (optional) and Rider email (optional) if needed.
- Select Activate rental.
- Wait for Ready to claim in Claim window.
Allow camera access when prompted. Use Close camera to stop scanning. If the camera fails or access is denied, enter the sticker number manually. Scanning inside Trackside selects a device without opening the rider’s LapBrain link or claiming their day. The rider uses a separate LapBrain account. Their email does not need to match a Trackside account.
Pending or failed rentals have no charge. A ready rental records one charge to your organization, even before the rider claims. A zero-charge rental follows the same activation and return process.
Hand out and return
Select Hand out when you give the activated logger to the rider. Select Return logger when the rider gives it back. Check Handout after each action. Returning the logger preserves the rider’s access and the original charge. The logger stays reserved until that rental day ends.
Replace a logger
- Find the existing rental row.
- Select Replace logger.
- Enter Replacement LapBrain serial number or use Scan logger QR.
- Select Replace device.
- Check the updated rental record.
Replacement keeps the rider’s day, access, and original charge. It creates no second rental charge. Both loggers stay reserved for that rental day. Use replacement when the existing rental needs another device.
Cancel an unclaimed rental
Select Cancel unclaimed rental only for a rental the rider has not claimed. LapBrain closes the claim window when it confirms that the rental is cancelled. Trackside then credits your organization for the original charge. While this action is pending, the credit is not yet confirmed. Claimed rentals keep their charge and access.
This credit goes to your organization. It does not refund the rider. Use the purchase and payment workflow to refund the rider separately. A credit after invoice collection carries forward to the next invoice.
Resolve pending actions
Read the message under Claim window if an action fails or stays pending. Select Retry confirmation when it appears. Wait for the result before you treat the action as complete. If the error continues, contact LapBrain with the rental event, day, and sticker number.
Review prices and billing
Admins set the rider price and billing card on this screen. Under Rental billing, compare the rider rental price and Trackside charge per rental day. These are separate amounts.
- Select Change rider rental price.
- Enter Rider rental price and Price change reason.
- Select Save rider rental price.
This default does not change existing Full organization add-on prices. Edit those sale prices on Add-Ons. Operations rider payments happen outside Trackside.
Select Set up billing card to complete card setup. After returning, select Refresh billing card and check the card status. Zero balances need no billing card or payment.
Review Ledger charges and credits and Event invoices for billed activity. A positive event balance is invoiced after the final day. Automatic card collection is due seven calendar days after that day. Read each invoice’s status and any collection error. Contact LapBrain if you cannot use billing controls or clear an invoice error.
