A refund returns money through the original payment provider. It does not cancel a booking. Only organization admins can request refunds. Every request needs a reason. Check the payment mode before you act. Sandbox refunds move no real money.

Check the remaining amount

Open the booking's Booking details in Rosters. Check its Purchased items and Refund history. Review Refunded, Refund pending, Store credit issued, and Refund available.

Refunds return only money funded by the original provider payment. Store credit used to pay cannot return through the provider. Completed refunds, pending refunds, and issued credit reduce the amount left. Refund and credit limits share that amount. Do not add the two limits together.

For a deposit purchase, the online amount is the deposit. A balance collected outside Trackside is outside this refund action. Later payment settings do not change where the refund goes.

Refund a booked item

  1. Open Rosters under Operations.
  2. Select Roster payment mode and Event day.
  3. Find the participant and open the booking's actions menu.
  4. Select Refund payment.
  5. Choose Purchased item.
  6. Enter a positive amount in the displayed currency.
  7. Use Use full available amount if you need the whole remaining refund allowance.
  8. Enter Reason.
  9. Check the amount shown on Request refund before selecting it.
  10. Open Booking details and check Refund history.

You can refund a cancelled booking's paid item when a refund allowance remains. The action is unavailable while a day transfer awaits payment. Cancel that pending transfer first if required.

Refund an original pass purchase

Existing pass bookings keep their places after a pass refund. Cancel them on their own when needed. A partial adjustment keeps the purchased terms and credits. A full adjustment voids the pass and prevents further redemption.

  1. Find the original pass order in Orders.
  2. Check the pass's purchased terms, redemptions, and remaining money allowances.
  3. Select Refund payment on that pass item.
  4. Review Existing bookings.
  5. Enter Amount, or select Use full available amount.
  6. Enter Reason.
  7. Check the amount shown on Request refund before selecting it.
  8. Check Refund history after the record updates.

A full adjustment counts completed refunds and issued credit against the original online value, including credit funding. Refunding all provider-funded money alone does not fully adjust a pass bought partly with store credit. When pending and completed adjustments reserve the whole value, new redemptions stop while the refund is pending. A failed request can let the holder redeem again if the pass stays active. It cannot make a separately voided pass active again.

Confirm the result

A requested refund can stay pending or fail. Check for Completed before telling the purchaser it finished. If it shows Failed or Rejected, review the payment before trying again. Reload the record to check its latest status. Refund history keeps the amount, status, requester, time, and reason.

Use Cancel a booking separately when you also need to release its place.
