Use a day's roster to check riders, coaches, vehicles, extras and balances. Viewers read rosters and print sheets. Operators and admins also correct bookings. Every staff correction needs a reason.
Find a booking
- Open Rosters.
- Select Event day.
- Check Roster payment mode.
- Enter a name or email in Find a participant.
- Select the participant's name to open Booking details.
You can also select Roster on an event day's card. Live shows real bookings. Sandbox shows test bookings that do not reserve Live inventory. The roster keeps your selected day and payment mode when you reload.
Groups show rider and on-track fill against their caps. Those counts include temporary holds. The booking rows show confirmed and cancelled bookings, purchased extras and money adjustments. A cancelled booking does not consume capacity. See Manage group capacity for coach counting.
Read current and saved details
Contact details come from the rider's current profile. A rider's profile change reaches their rosters. The roster also shows the saved vehicle choice, registration answers and your organization's staff note. Rental vehicles come from the assigned rental bike.
Purchase records keep the original facts. Roster changes do not rewrite those records. Open Orders when you need the original purchase information.
Correct registration answers
- Open the participant's action menu.
- Select Edit Answers.
- Correct the answer fields.
- Enter Correction reason.
- Select Save registration answers.
- Reopen the booking after reload to check the answers.
These answers apply to the roster. Orders keep the answers originally supplied at purchase. Removed questions keep their saved prompt in the correction form. Current required questions still need an answer.
Correct a vehicle or staff note
- Open the participant's action menu.
- Select Edit vehicle and staff note.
- Correct the vehicle fields or Staff note.
- Enter Reason.
- Select Apply booking change.
Vehicle changes apply to this booking's on-track vehicle. The staff note follows that participant within your organization and payment mode. It is not a private note for only this booking. Use rental-bike assignment controls to change a rented motorcycle.
Correct an unclaimed profile
Edit unclaimed profile appears only for a rider who has not claimed their account. This edits their shared rider profile, including contact details and vehicles. It can change what other rosters show.
- Open the participant's action menu.
- Select Edit unclaimed profile.
- Correct the profile fields.
- Enter Correction reason.
- Select Save unclaimed profile.
Ask a rider with a claimed account to update their own profile. Use your staff note for organization-specific information. Staff cannot overwrite a claimed profile through roster corrections.
Add a complimentary entry
Complimentary entries collect no payment. Use them on hosted days, even when your organization takes paid bookings elsewhere. Required registration answers and capacity checks still apply.
- Select the hosted day and correct Roster payment mode.
- Select Add Complimentary Entry.
- Enter Participant email and Participant name.
- Choose Group.
- Complete the registration questions.
- Enter Reason.
- Select Add complimentary registration.
- Reload the roster to check the participant's entry.
Trackside uses the email to find or create the participant account. An existing rider profile keeps its current information. Trackside prevents duplicate confirmed bookings for one rider, day and payment mode. Read Manage group capacity before using a capacity override.
Use Import a roster to add several complimentary entries from a CSV file.
