Store credit gives the original purchaser value for a later purchase from your organization. It does not return cash or cancel a booking. Credit goes to the purchaser. This also applies when the order names a different rider or pass holder. Only organization admins can issue it. Every issue needs a reason and an eligible purchased item.

Read the credit amounts

Open Booking details in Rosters, or the original pass item in Orders. Check Paid online, Store credit issued, Refund pending, and Credit available.

Credit used to pay is part of how the purchase was funded. Credit issued later is a money adjustment against that purchase. These are different amounts. A refund can return only the provider-funded part. Store credit can use the original online value left. This includes the part paid with credit.

Completed refunds, pending refunds, and issued credit reduce the shared amount left. Do not add Refund available and Credit available together. Credit cannot exceed the amount left for the chosen item.

Credit a booked item

  1. Open Rosters under Operations.
  2. Choose Roster payment mode and Event day.
  3. Find the participant and open the booking's actions menu.
  4. Select Issue store credit.
  5. Choose Purchased item.
  6. Enter a positive amount in the displayed currency.
  7. Use Use full available amount if you need the whole remaining credit allowance.
  8. Enter Reason.
  9. Check the amount shown on Issue store credit before selecting it.
  10. Open Booking details to check Store credit issued and Credit available.

Cancelled bookings can still have money left to adjust. A pending day transfer blocks money actions until it ends. Sandbox credit stays separate from Live credit and moves no real money.

Credit an original pass purchase

Existing pass bookings keep their places after credit is issued. Cancel them on their own when needed. Partial credit keeps the pass's purchased terms and credits. A full adjustment voids the pass and prevents further redemption.

  1. Find the original pass order in Orders.
  2. Review the pass's redemptions, purchased terms, and money allowances.
  3. Select Issue store credit on that pass item.
  4. Review Existing bookings and the original purchaser's email.
  5. Enter Amount, or select Use full available amount.
  6. Enter Reason.
  7. Check the amount shown on Issue store credit before selecting it.
  8. Check Store credit issued after the record updates.

A full adjustment counts completed refunds and issued credit against the pass's original online value. Pending refunds also reserve part of the amount left. They can stop new redemptions before the refund completes. Existing bookings and their cancellation rules remain separate.

Check what remains

Reload the record and check the issued credit and remaining allowance. Credit stays with the original organization, purchaser, payment mode, and currency. Trackside does not provide a credit expiry setting in this workspace. Use Cancel a booking separately to release a place.
