A pass pays for entry to eligible hosted event days. Each booked day uses one credit, even when several days belong to one event. Passes do not cover rental days or include paid extras. Only organization admins can change passes. Your organization needs a Trackside site to sell them.
Create the pass
- Open Passes under Products & Checkout in your organization's workspace.
- Select Add Pass.
- Enter Name and Description.
- Set URL slug if you need a specific page address.
- Choose Image if the pass needs a picture.
- Keep Status at draft while you prepare the terms.
A blank slug uses the pass name to make its address. Draft passes do not sell.
Choose the eligible days
Use Listed days only under Scope for a pass that promises specific days. Select those days under Days. Use Find hosted days to filter the list. Select shown and Clear shown affect only the visible results. Selected days stay selected when a filter hides them.
Use Date range (includes days added later) for a pass that covers a season or date range. Set First day and Last day. Both dates count. Use Venues and Events to limit that range when needed. A date range includes eligible hosted days added later.
Set credits and booking choices
Enter the number of days under Credits. Leave it blank for unlimited credits, with one booking per eligible day. A listed-day pass cannot have more credits than listed days.
Choose one booking approach:
- Leave both booking checkboxes clear for redemption later. Unused credits reserve no group places.
- Select Require the buyer to choose days at checkout for a limited-credit pass. The buyer chooses exactly that many days and a group for each before payment.
- Select Register the buyer for every listed day at purchase for a fixed block. This needs listed days and enough credits for every day, or unlimited credits.
The last two approaches reserve the selected group places together at checkout. They cannot both apply to the same pass.
Set the sale and cancellation terms
- Enter Units available, or leave it blank for unlimited pass sales.
- Set the full pass price under Price schedule.
- Use Add Price Change for each later price.
- Set Sale opens and Sale closes when needed.
- Choose the credit rule under Cancelling a redeemed day.
- Set Cutoff (hours before the day) if cancellation restores a credit before a cutoff.
- Choose Refunds and Transfers for the pass terms.
- Select Save Pass.
Enter sale times in your organization's time zone. Leave the first price start blank to apply that price from the start. Later prices take effect at their start time in the same time zone. A blank opening starts sales when you publish the pass. A blank closing leaves sales open until you archive it. Pass sales stop when sold units and temporary checkout reservations reach the unit limit.
The credit cutoff counts back from local midnight on the booked day. Cancellation at the cutoff still restores the credit. Staff refunds require a reason, even when the purchased rule says no refunds. With Transfers selected, the holder can give a redeemed day to another rider.
Publish or update the pass
Select Edit beside the pass. Set Status to published. Select Save Pass. Check its sale state and use View on site to review its page. For a draft, use Preview on site.
Product edits do not replace a holder's purchased terms or credit allowance. Pass demand by day shows possible redemptions under those terms. That forecast reserves no group places.
Set Status to archived to stop selling a pass with purchase history. Trackside refuses deletion when purchases or active checkout reservations exist. Use Orders to inspect a purchased pass before a refund or credit adjustment. To help a holder change a redeemed booking, see Handle pass booking changes.
